At a glance
- The only personal data we collect is what you send us — through the contact form or by email. We don't run advertising and we don't sell data.
- We use it to answer your enquiry and, if you go ahead, to do the work and keep the records the law requires us to keep.
- This site sets no cookies and loads nothing from third parties. The only time your browser contacts anyone but us is when you submit the enquiry form.
- You can ask for a copy of your data, a correction or deletion at any time, and complain to us directly, escalating to the ICO if needed.
This policy explains what happens to personal information you provide to AMAC (NE) Ltd through this website or in the course of our work, and what rights you have over it. We process personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
AMAC (NE) Ltd is the data controller. We are in the process of registering with the Information Commissioner's Office and will publish our registration reference here once it is issued. We are a company registered in England & Wales, number 15793003, with our registered office at 50 Swan Close, Hebburn NE31 2FL. What we collect
When you submit the enquiry form — the name, company, email address, telephone number (if you choose to give one), project type, sector and message you provide. If you arrive from the sizing calculator, its estimate is offered as the opening line of your message; you can edit or delete it before sending. We collect none of this unless you choose to submit the form.
When you email or phone us — your contact details and whatever you tell us about the site and the work.
If you become a client — contact details for the people we deal with, site and access information, records and photographs of the installation (we avoid photographing people), and billing details. We never hold card numbers.
When you visit the site — our hosting provider keeps standard server logs (IP address, browser, pages requested, time) for security. We don't use them to identify visitors.
We don't collect special category data through this website and we don't use the site to make automated decisions about you.
Why we use it, and the legal basis
- Answering your enquiry, surveying and quoting — steps taken at your request before entering a contract (UK GDPR Article 6(1)(b)).
- Carrying out and administering the work — performance of a contract (Article 6(1)(b)).
- Issuing certificates and keeping statutory records, for example F-Gas refrigerant records and electrical certificates — legal obligation (Article 6(1)(c)).
- Invoicing, accounts and tax — contract and legal obligation.
- Keeping the website secure — our legitimate interest in running a safe site (Article 6(1)(f)).
- Telling existing clients about servicing that is due or regulatory changes that affect their equipment — our legitimate interest in supporting the systems we maintain. You can ask us to stop at any time.
We don't add you to a marketing list on the basis of an enquiry, and we don't send marketing to anyone who hasn't done business with us.
Who we share it with
We share personal data only where it's needed to do the above, with providers who act on our instructions and can't use it for their own purposes:
- Website hosting — Cloudflare, which serves this site and receives the enquiry form submission.
- Form delivery — Web3Forms (or Resend), which turns your form submission into an email to us.
- Email and documents — Microsoft (Microsoft 365), where our correspondence and job records are held.
- Certification bodies and manufacturers — where a certificate, notification or warranty registration requires your site details.
- Our accountants, insurers and legal advisers where necessary, and public authorities where the law requires it.
We don't sell personal data and we don't share it with anyone for their own marketing.
International transfers
Some of the providers above are US companies. Where data leaves the UK it's protected by the UK Extension to the EU–US Data Privacy Framework (the "UK–US Data Bridge") or by the UK International Data Transfer Agreement / Addendum, as applicable to each provider. Details are available on request.
How long we keep it
- Enquiries that don't lead to work — 12 months from our last contact, then deleted.
- Client and job records — for the length of the contract plus 6 years, the period during which a claim could be brought.
- F-Gas refrigerant records — at least 5 years, as the F-Gas Regulation requires.
- Electrical certificates — for the life of the installation, and at least 6 years.
- Financial records — 6 years from the end of the financial year, as HMRC requires.
- Website server logs — held by our hosting provider for a short rolling period, typically under 30 days.
Cookies, storage and outside requests
Cookies. This site sets no cookies and runs no analytics or advertising, so there is no cookie banner. Analytics code is present but switched off; if we ever enable it, we will add a consent banner and update this policy first.
Browser storage. If you use the sizing calculator and then click through to the contact form, the estimate is passed to the form using your browser's session storage. It's cleared when you close the tab, is never sent anywhere until you submit the form, and is strictly necessary for that feature to work.
Typefaces. The site's fonts are served from this website, not from a third-party font service, so loading a page sends your IP address to nobody but our hosting provider.
Chat assistant. The chat button runs entirely in your browser from a fixed set of answers. It sends nothing to us or anyone else.
Social links. Links to LinkedIn and Facebook are ordinary links. Nothing is loaded from those sites until you click.
Security
Our systems use access controls, multi-factor authentication and encryption in transit. Access is limited to the people who need it for their role. If a breach occurs that is likely to put your rights at risk, we will tell you and the ICO without undue delay.
Your rights
Under UK GDPR you can ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that's inaccurate;
- delete it, where we have no good reason to keep it;
- restrict how we use it, or object to our using it — including objecting to any direct marketing, which we will always stop;
- give you your data in a portable format, where we hold it under a contract.
Email enquiries@amacne.com. We'll respond within one month and won't charge a fee unless a request is clearly unfounded or excessive. We may ask you to confirm your identity first.
Complaints
If you're unhappy with how we've handled your personal data, email the same address with the subject line "Data protection complaint". We'll acknowledge it within 30 days, look into it, and tell you the outcome without undue delay. If you're still dissatisfied, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.
Children
Our services are for building owners and businesses. We don't knowingly collect data from anyone under 18; if you think a child has sent us personal data, tell us and we'll delete it.
Changes
We'll publish any changes on this page and update the version and date at the top. If a change affects how we use data you've already given us, we'll tell you by email.
